TABLE OF CONTENTS

In the objectives section, you can set and manage Objectives and Key Results (OKRs), view their progress, and send progress reports.

Create an Objective

Click on the plus icon on top right of the Objective section to open Create Objective modal.

  • Objective: Write you Objective (Learn how to write good OKRs here)
  • Objective Type: Objectives can be either organizational or individual. Organizational Objectives should be assigned to a position regardless who the person in charge of that position is. While the individual objective should be assigned to a person, so if their position changes they still are responsible for that objective.
  • Objective Owner/Position: depending on the Objective type you can assign an Objective to a position or an individual.
  • Reviewer: Reviewers can access the Objective even if otherwise are restricted to see the Objective based on the workspace settings.

  • Description: Provide more detail to clarify your Objective if needed.
  • Start and due dates: Select the checkbox to add start and due dates for your Objective
  • Tag: Select a tag for the Objective. Tags can be created by Owners/Admins and can identify the time period the Objective is related to, the target department, etc.
  • Alignment: Use alignment to connect your Objective to a Key Result of an existing Objective (Learn about alignment and laddering here)

Specify Key Results (KRs)

While creating Objectives you can also specify Key Result (KR) by clicking on "+ Add key result" at the bottom of Create Objective Modal. (Learn how to write good OKRs here)

  1. Key Result Name: Define a clear and measurable KR
  2. Key Result Owner: Specify the owner of the KR, who is in charge of the KR progress
  3. Progress Calculation: Specify how the KR should be calculated:
    1. Self Report: This way, people should manually report the progress of a task
    2. Task Based: The KR progress will be calculated by the progress of all the tasks connected to it
    3. Objective-based: It will automatically set when a KR is cascaded as an Objective (Learn about alignment and cascading here). So the progress of the corresponding Objective will also reflect its progress as the KR.
  4. Metric: specify if you want to report the progress in numbers or as percentages.
  5. Start: What is the starting point for calculating your KR progress.
  6. Target: What is the target for calculating your KR progress.
  7. Progress Report Reminder: Specify if you want the KR owner receive timely reminders to report the progress
  8. Related tasks: Click on this menu to either connect the KR to an existing task or create a task right away by clicking on "+ Add a new task"

OKR Views

After creating a list of your Objectives and Key Results (OKRs), you can toggle between List view and Tree view on the top of the Objectives section.

Objectives List view

The list view allows you to see a list of Objectives with all its details in front of it, including tags, type, owner, reviewers, and key results.

  • Click on the Key Results ( ) at the end of each row, to expand the objective’s Key Results detail.
  • If a Key result is connected to one or more tasks, you can also see an expandable Tasks link ( ) in front of it that shows the number of connected tasks, and if expanded shows tasks/subtasks detail.

Pin/Unpin an Objective

Hover on the Objective that you want to pin on the top of the list for the pin icon "" to appear and click on it. A tilted pin icon shows that the Objective is pinned "".

Generally, pinning is applied and shown in your own workspace Objectives only. However, Owners will be asked if they want the pinning applied to the other members' workspaces too.

Rearranging the pinned Objectives: You can rearrange the pinned Objectives by clicking on the two-way arrows "" on the left and drag it to your desired place. While dragging, your Objective will be placed above the Objective with a solid line.

Objectives Tree view

In the tree view, you can see your Objectives and key results hierarchy and relationships more clearly. When you toggle the tree view, you will see a menu on the top that lets you adjust your tree.

Report Key Result Progress

Whether in the list view or tree view, you can click on Add Report icon "" for each KR to report its progress. By clicking on the icon, you will see the start and target, and the metrics set for the KR, can report its current progress and status, and add a comment about it’s progress.

Review KR progress

You can review a KR’s progress by clicking on View Report icon "". You’ll be able to see all the previous reports on the KR, edit or delete each report, and see the comments on each report by hovering on "". Also, "" allows you to download records as a CSV file.

You can open CSV (Comma-Separated Values) files with any spreadsheet software like MS Excel, or Google Sheets. It will enable you to perform various operations on the data, such as sorting, filtering, creating charts, and generating reports tailored to your requirements.

Align OKRs

In OKR system, you have a transparent and unified set of Objective and key results that are all aligned to one High-level Objective. The more you go down the branches the narrower the Objectives and key results will become.

You can align the OKRs in two ways, cascading and laddering.

What does Cascade and Ladder mean?

Usually, at higher levels you will need to break a key result in multiple narrower key results. Cascading means converting a KR to an Objective so that it can have its own KRs.

Let’s say we have defined the High-level Objective as “Increase revenue to 200%.” and define three KRs for it as:

KR1: Improve staff satisfaction rate %10

KR2: Generate leads to 150%

KR3: Improve user rates to 4.8

Now, we decide to cascade KR2, “Generate leads to 150%”,  to an object so that we can define specific KRs to achieve it as an Objective such as:

KR1: Design a referral plan for current clients

KR2: Find 3 new resources of lead generation

KR3:  Create 5 new marketing campaigns

Laddering, on the other hand, is when you define an Objective for yourself or your team and you know that it also contributes to a previously defined KR, so you align it to it.

As in previous example, recognizing KR2: Find 3 new sources of lead generation, the Digital Marketing team can define the Objective “ Convert the website as a meaningful lead generation tool” for themselves and align it to the previously defined KR.

Cascade a KR

For Cascading, you have a KR that you want to convert to a lower level Objective with its own KRs. For this purpose:

  1. Go to My Work page on your workspace.
  2. Go to the Objectives section.
  3. Find the KR you want to cascade.
    1. In the list view: Find the corresponding Objective and expand its Key Results tab to find the KR you want to cascade.
    2. In tree view: Scroll the page to find the KR you want to cascade.
    3. Or, in either view mode, search by filtering:  select ‘Key Result Name’ from a drop down ‘Search by’ list on top right of the Objective section and write part of the KR you want to cascade in the search bar.
  4. Click on the Alignment icon "" in front of the KR to open Create Objective panel

The Key result and its cascaded Objective’s name and owner will be interdependent, which means changing one will automatically result in changing the other one.

In the list view, when a KR is cascaded you can see "" in front of both the KR and its corresponding Objective, which will help jumping from one to the other one. Click on this icon to jump from the KR to its corresponding Obj and vice versa.

Remove a Cascade

When you cascade a Key Result, "" will change to "", by clicking on which you can remove the connection.

The corresponding Objective will remain as an independent Objective. If you want to remove the Objective as well you should go the Objective’s setting " " and select Done or Archive.

Ladder an Objective

To ladder an Objective, you can simply select the associated KR while creating the Objective in the Alignment section.

Opening the Alignment drop down, you will see a list of Key Results previously created along with their associated Objectives.

You can also set the alignment later, by editing an existing Objective.

In the list view, when an Objective is laddered you can see  in front of both the Objective and its corresponding KR, which will help jumping from one to the other one. Click on this icon to jump from the Obj to its corresponding KR and vice versa.

Remove a Ladder

To remove a laddering connection between an Objective and KR, go to the laddered Objective settings "  ", click Edit and remove the Key Result in the Alignment field. Click Update to save the change.

Edit an Objective and Key Results

To edit an Objective or Key result detail, (their name, their owner, their due date, tags, alignment...)

  1. Click on the settings "  " in front of the Objective or Key Result, in either tree view or list view.
  2. Click on Edit
  3. Make the desired changes
  4. Click Update after you made changes to save.

Open/Done/Archive Objectives

In My Work page, Objectives as well as Tasks and Assessments, are categorized into three groups: Open, Done, and Archived

- Open refers to the Objectives that are active

- Done refers to the Objectives that are not active anymore, whether successfully achieved or past due.

By sending an Objective to Archives, the connections will not be removed but the progress of archived Objectives will NOT affect the progress of upper level Objectives

- Archive refers to the objectives that are not relevant anymore or need to be temporarily set aside.

By sending an Objective to Archives, the connections will not be removed but the progress of archived Objectives will NOT affect the progress of upper level Objectives

How to set an Objective as Done or Archived

To set an Objective as Done or Archived, click on the settings icon "  " in front of the Objective or Key Result, in either tree view or list view.

How to see Done/Archived Objectives

In the list view, you can see Open, Done, and Archived tabs on the top of the Objective section. Click on each to see respective Objectives.

In the tree view, you can recognize each Objective’s category by its color.

  • Open: green
  • Done: Yellow
  • Archived: Red

You can filter out each category by clicking on the tick icon in front of the label.

After you filter out a category, you can also determine if you want to hide them in the tree or show it as transparent.

How to restore an Archived Objective

  1. Go to the Archived Objectives.
  2. Click on the settings icon "  " in front of the Objective or Key Result
  3. Click on restore

How to permanently remove an Objective

To permanently remove an open Objective:

  1. First, send the Objective to the Archived; click on the settings icon "  " and click Archive
  2. Then, go to the Archived Objectives, click on the settings icon "  "  and click Remove.

How to reopen a Done Objective

Go to the Done tab. Click on the settings icon "  " Click reopen.

Search Objectives by Filter

In the My Work page, you can see a search bar on the top right of the Objective section as well as Task and Assessment sections. Select what you want to search into from the drop down list “Search by” and write what you are looking for in the “Enter search Text” field

You can also click the Objective or Key Result owner, Reviewer, or Tag on the Objective to search or filter the Objectives based on that.

Tags

Tags icon "" appears on the header of the both Objectives and Tasks sections.

By clicking on it, the owners and admins can create tags to be used by all the people in the workplace.

Also, you can always check the list of available tags by clicking on this icon.
